A successful corporate event is more than a beautiful ballroom, good food and impressive entertainment. It is about bringing people together, celebrating milestones, strengthening relationships and creating an experience that guests remember long after the evening ends.

On 10 September 2023, CURATE had the opportunity to support Khaishen Trading Sdn Bhd in celebrating its 30th anniversary with a dinner reception at the Mayang Sari Ballroom, JW Marriott Kuala Lumpur.

From venue selection and supplier coordination to creative event styling, entertainment and programme management, our role was to bring the company's vision to life while ensuring the evening flowed smoothly from beginning to end.

For companies searching for a corporate event planner in Kuala Lumpur, this event demonstrates how thoughtful planning, careful coordination and attention to detail can turn an important company milestone into a memorable corporate celebration.

Planning a Corporate Anniversary Dinner from the Ground Up
A company anniversary is an opportunity to celebrate more than the number of years in business. It recognises the people, partnerships and achievements that have contributed to the company's journey.

For Khaishen Trading's 30th anniversary, the event programme incorporated management speeches, employee appreciation, supplier recognition, entertainment, lucky draws and charitable contributions.

With multiple stakeholders and programme elements to coordinate, the challenge was to ensure that every segment had its place without making the evening feel overly formal or disjointed.

As the appointed event planner, CURATE provided planning and coordination support across the event's key components, working with the client, hotel banquet team and appointed suppliers to bring everything together.

1. Venue Sourcing and Hotel Coordination
Choosing the right venue is one of the first important decisions when planning a corporate dinner.

CURATE shortlisted suitable venues and compared JW Marriott Kuala Lumpur with The Westin Kuala Lumpur and Pavilion Hotel Kuala Lumpur, helping the client assess the options before proceeding with the selected venue.

Once the venue was confirmed, our responsibilities extended beyond the ballroom booking. We coordinated with the hotel's relevant teams and suppliers to align the event requirements, technical arrangements and programme flow.

This included negotiating and coordinating with Infoscreen, JW Marriott Kuala Lumpur's appointed AV panel vendor, as well as discussing the live band's technical requirements and integration with the hotel's sound system.

For a corporate event held in a hotel ballroom, these details matter. Resolving technical requirements before the event day helps reduce last-minute complications and allows the different teams to work towards the same plan.

Lighting Enhancing Overall Ambience

2. Creating a Memorable Entrance Through Event Styling
The event experience began before guests entered the ballroom.

One of the key visual features was a fruit tunnel at the foyer, designed to showcase Khaishen Trading's core products in a distinctive and immersive way.

The installation combined greenery, fruit displays, wooden elements and natural textures to create a visual statement that connected the event environment with the company's products and business identity.

A photo wall was also planned at the foyer to give guests an opportunity to capture memories of the celebration.

Rather than treating decoration as a standalone visual element, CURATE approached the styling as part of the overall guest journey — creating an arrival experience that encouraged guests to explore, interact and take photographs.

3. Entertainment and Technical Production
Entertainment was planned to maintain energy throughout the evening while complementing the formalities of the anniversary celebration.

The programme opened with a TRON dance performance featuring illuminated costumes and a dramatic blackout effect. The performance created an energetic introduction before dinner service commenced.

Tron Dance as Opening Performance

A live band provided entertainment across multiple sets during the evening, giving guests opportunities to enjoy the celebration between formal programme segments.

To support these performances, CURATE coordinated with the hotel's AV team and an external lighting supplier. Additional lighting was introduced to enhance the ballroom ambience, while sound requirements were discussed to ensure the live band's setup could work with the venue's existing system.

The event also included live feed coverage so guests could see what was happening on stage, including speeches, presentations and other important moments.

By bringing together the venue's technical team, external lighting supplier and entertainment providers, we aimed to create a cohesive experience rather than treating each production element separately.

4. Recommending the Right Event Partners
A corporate event often involves more suppliers than guests realise. The challenge is not simply finding individual vendors, but ensuring that their services work together towards the same outcome.

For Khaishen Trading's anniversary dinner, CURATE recommended and coordinated several event partners, including:

Emcee Kevin Chong
  • Emcee: Kevin Chong, selected to guide guests through the evening's programme.
  • Photography: A photographer to document the event and its important moments.
  • Videography: Two videographers to provide broader coverage of the celebration.
  • Live feed: A dedicated service to help guests follow the action on stage.
  • Live band: Musical entertainment throughout the dinner.
  • Opening performance: A TRON dance act to create a memorable start.
  • Instant photo printing: An interactive experience that allowed guests to take home printed photographs.

Each supplier had a specific role, but their timing and requirements needed to be coordinated within the same event plan.

This is where a corporate event management partner adds value: helping the client navigate supplier options, align expectations and bring the different elements together under one coordinated programme.

5. Turning a Dinner into a Company Milestone
An anniversary celebration should reflect the company's journey, not just its event theme.

One of the important elements of this event was the anniversary company video. As the company did not have an existing company profile video to draw upon, CURATE encouraged the client to consider producing a video that documented its growth and milestones.

The video was incorporated into the evening's programme, alongside the CEO's and daughter's thank-you speeches and a staff appreciation gift presentation.

The programme also included supplier testimonial videos and a vintage supplier slideshow, giving the company an opportunity to recognise the relationships that had contributed to its business journey.

Partner Appreciation Backdrop

Partner appreciation awards provided a further opportunity to acknowledge key business partners on stage.

These moments helped give the evening a stronger purpose: celebrating the company's history, recognising the people behind its progress and reinforcing the relationships that would carry it into the future.

6. Incorporating Charity and Guest Engagement
Corporate celebrations can also be an opportunity to demonstrate social responsibility.

Khaishen Trading's anniversary programme included a charity cheque presentation involving three organisations:

  • Pusat Penjagaan Kanak Kanak Cacat Taman Megah
  • The Lost Food Project
  • PIBG S.R.J.K (C) Mun Choong

The programme also featured two lucky draw sessions, with prizes ranging from personal electronics to a gold coin grand prize.

These activities created variety throughout the evening, balancing formal speeches and recognition segments with moments of anticipation, interaction and celebration.

CURATE incorporated these elements into the programme sequence so that each activity could take place alongside the dinner service and entertainment without disrupting the overall flow.

Music licensing arrangements were also part of the event preparation, with MACP/PPM licensing applications included in the planning process.

7. Programme Management: Keeping the Evening on Schedule
One of the most important responsibilities of a corporate event planner happens behind the scenes.

The event programme included multiple speeches, performances, video presentations, lucky draws, partner appreciation awards, a champagne toast, charity presentations and dinner service.

Each segment involved different parties, including the emcee, hotel banquet team, AV operators, performers, client representatives and media suppliers.

CURATE prepared a detailed event programme that identified the timing, responsibilities, screen requirements and actions for each segment. The preparation included technical checks, rehearsals, supplier briefings and coordination with the banquet team before the event began.

On the day, we monitored the programme and coordinated with the relevant teams to help keep the evening moving according to schedule.

The dinner reception concluded at 10.30 pm as planned.

For corporate clients, programme discipline is about more than punctuality. It helps maintain the guest experience, supports the venue's service schedule and ensures that important speeches, presentations and entertainment receive the attention they deserve.

A well-prepared event programme gives every supplier a shared reference point and helps the organiser manage changes without losing sight of the overall experience.

What Does a Corporate Event Planner in Kuala Lumpur Actually Do?
This anniversary dinner illustrates how corporate event planning extends beyond selecting a venue or booking entertainment.

Depending on the event's requirements, a professional event planner may support:

  • Venue research, shortlisting and comparison.
  • Budget discussions and supplier negotiations.
  • Event concept, decoration and styling.
  • Entertainment recommendations and coordination.
  • Audio-visual and lighting coordination.
  • Photography, videography and live feed arrangements.
  • Event programme development and show flow management.
  • Guest engagement activities and special presentations.
  • Supplier briefings, rehearsals and on-site coordination.
  • Music licensing arrangements and other event administration.

The scope varies from one event to another. What remains consistent is the need to manage the details while keeping the client's objectives and the guest experience at the centre of the planning process.
